How to Register as a Vendor in Tennessee

What it's for

Tennessee's Central Procurement Office (CPO), part of the Department of General Services, buys for state agencies through Edison, the state's PeopleSoft system. Registering in the Edison Supplier Portal gets you a Supplier ID, invitations for bids that match your commodity codes, and the ability to be awarded a contract and paid.

Have this ready

• Federal Tax ID (EIN), or SSN for a sole proprietor
• A current W-9. The FAQ says it must be hand-signed; electronic signatures are not accepted.
• Your Certificate of Registration (or exemption) from the Tennessee Department of Revenue, which the state's registration guide lists
• A general company email that someone will always check (the guide warns against using one person's email because of staff turnover)
• Main business address exactly as it appears on your W-9
• UNSPSC commodity codes for what you sell (the portal lets you search by description)
• Optional: the state's direct deposit (SDDA) form and bank details

Steps

1. Open the Edison Supplier Registration page (portal_url above).
2. Welcome: start a new registration (you can save and come back later).
3. Identifying Information: enter your company details, upload your W-9, and add your commodity codes.
4. Addresses: enter your main address so it matches lines 5-6 of your W-9.
5. Contacts: add a contact and set up your first user ID, which starts with "TN@".
6. Submit: accept the terms and submit. You'll get a 10-digit registration number by email. Use it whenever you contact support.
7. Wait for approval, about 10 business days. When approved, the state emails you a Supplier ID and your TN@ user account becomes active.

After you register

• You'll get invitations for solicitations that match your commodity codes. Also check the public ITB and RFP pages on tn.gov.
• Change commodity codes with a "Supplier Change Request" in the portal.
• For address changes, email a new W-9 to supplier.maintenance@tn.gov. For direct deposit changes, send the SDDA form to FA.SupplierSupport@tn.gov.
• You can add more users once you're approved.

Watch out for

• Register early. You can bid without registering (paper bid instructions are in the event documents), but you can't be awarded a contract until you're registered.
• Unsigned or e-signed W-9s will hold up approval.
• The RFP page covers professional services only. Goods and general services bids are on the separate ITB page and in Edison's public bidding events.
• Construction and DOT are separate: building design and construction runs through STREAM / the Office of the State Architect, not the CPO, and TDOT posts its own highway lettings.
• No official source mentions any fee. Paid "registration help" services are optional.
