What it is
RealPage Vendor Credentialing is an online compliance service. It used to be called Compliance Depot. Property managers use it to check that a vendor's insurance, licenses and business paperwork meet their rules before the vendor is assigned work. RealPage describes vendor credentialing as making sure "vendors meet required insurance, licensing, and business standards before working with property managers."
As a vendor, you keep one account. You upload your documents once, track each property management company's requirements separately, and get alerts before your documents expire.
Who asks for it
Property management companies and multifamily housing operators that use RealPage. RealPage says the service is for "Contractors, service providers, and vendors that work with property management companies." If a property manager tells you to "get credentialed in RealPage" or "Compliance Depot," this is the service they mean.
Have this ready
RealPage lists these as the items a property management company can require. Each company sets its own list and its own limits.
- Certificate of insurance (COI) showing the limits the property manager requires
- General liability, workers' compensation, and auto liability (if applicable)
- Trade licenses, where your state requires them
- W-9 for vendor setup and tax reporting
- Background checks, if the property management company requires them
- Your insurance agent's contact information (RealPage has a portal where agents can submit documents for you)
Steps
- Ask the property manager which RealPage client account (management company) you are being credentialed for and what their requirements are.
- Go to the vendor login page at vendorcredentialing.realpage.com. Pick "Are you a new vendor? Join Vendor Credentialing."
- Enter your company details. Then upload your documents on the website or in the RealPage Vendor Mobile app (iOS and Android).
- If you like, have your insurance agent send certificates through RealPage's Insurance Agent Portal. RealPage says documents sent this way get prioritized processing and real-time status updates.
- Check your status for each client. The app shows your existing clients and the properties you serve. It also shows status per client and any outstanding issues.
- Fix any missing or deficient items the dashboard flags. RealPage says same-day approval is possible "when requirements are met." Final approval is up to each property management company's rules.
- To add more properties for a client you already have, link them in the app.
Costs and renewals
- Price: RealPage's public vendor pages don't show a vendor fee. For current pricing, call Vendor Credentialing support at 888-493-6938 (Mon-Fri, 7:30 AM-7:00 PM CST).
- Credential Key: RealPage calls this "a premium option for vendors." It's an insurance-based program. You set up a "master insurance profile" that can be used across participating customers. RealPage says Credential Key vendors are "eligible for same-day approval." No price is published.
- Renewals: RealPage sends alerts before insurance expires and tracks each property management company's policy renewals. Plan to upload renewed certificates every time a policy renews.
Watch out for
- Each client sets its own rules. Two property management companies can ask for different insurance limits or different background checks. Being approved for one doesn't mean you're approved for another.
- Keep your COI current. If a certificate expires, it can block job assignments. Ask your agent to send renewals as soon as they're issued.
- Additional insured wording. If the property manager wants to be named on your certificate, get the exact names and wording from them and give it to your agent word for word.
- Pricing isn't posted. Ask about any enrollment fee, annual fee or Credential Key fee before you commit.
